The right paperwork can ease the stress of a farm theft

When something’s stolen from a farm, stress is high—and then the paperwork starts. A small amount of preparation —an asset log, photos, and clear proof of ownership—can make claims faster and recovery more likely.  Preparing for the worse with the following simple steps can make life much easier if the worse were to happen.

Step 1 – Check Your Farm Insurance Cover (avoid surprises!)

Before you need it, review your policy wording or speak to your broker:

  • Theft conditions: Some policies pay only with evidence of forced/violent entry.

  • Tools in vehicles: Overnight theft may be excluded or allowed only with specific security.

  • Single-item limits: High-value kit may need to be specified.

  • Outbuildings: Sheds/containers sometimes have different limits or requirements.

Action: Note any gaps (e.g., specify items, upgrade locks, consider trackers) and set a reminder to review annually.

Step 2 – Build a Farm Asset Log (serials, photos, dates)

A simple asset log is the most useful document after a theft. Use a spreadsheet and record:

  • Item / Make / Model

  • Serial number (or unique ID)

  • Purchase date & price (receipt reference)

  • Photo link  (item + where it’s stored)

  • Location (e.g. Workshop tool chest)

  • Owner marking (engraving/UV/label)

  • Notes (firmware, accessories, attachments)

Store photos in the cloud and paste the share link into the “Photo Link” column so insurers or police can access them quickly.

Step 3 – Mark Equipment for Proof of Ownership

Marking helps prove an item is yours and discourages resale:

  • Engraving / UV pen / tamper-proof labels in a discreet place

  • Close-up photo of the mark + a context photo (e.g., your tractor in the yard)

This combination of marking + photos + serials strengthens your claim and aids recovery.

Now you are prepared, if the worst happens, you will be ready to quickly send the following:

  • To the Police: Provide a clean list of stolen items with serial numbers and photos.

  • For your insurance company: Send the asset log, photo links and purchase evidence; this reduces back-and-forth and can speed up settlement.

  • Recovery: Share serials with local dealers/auctions where appropriate; keep an eye on marketplaces.
